Your team decides whether customers join your loyalty programme. How to train staff, track sign-ups with personal QR codes and reward them fairly without pushy selling.

Key takeaways

  • Most sign-ups happen because a person asked, not because of a poster.
  • Give every team member one simple sentence and a personal QR code.
  • Reward sign-ups that lead to return visits, not just raw numbers.
  • Celebrate results weekly; keep it friendly, not a sales league.

Why staff make or break the programme

You can design the perfect reward, but if staff don’t mention it, few customers will join. A QR code on the counter helps; a friendly question at the till helps far more. Treat sign-ups as part of good service, not an extra sales task.

Train with one sentence

Give the team one short, honest line, such as “Would you like to join our rewards? You get 5% back on everything and £2 off today.” Practise it during a quiet shift. Make sure everyone can explain the reward, how points are used and how to find a customer who has forgotten their phone.

Customers should never feel pressured. If someone says no, move on politely. A pushy ask damages the relationship the programme is supposed to build.

Track who signs customers up

In Unity, each member of staff has a personal QR code. When a customer joins through it, the sign-up is linked to that person. Managers can see who brings new members in, which makes recognition fair and helps spot who might need more support.

Reward fairly

Unity lets you give staff bonuses for the customers they sign up and for the sales they process. Choose an amount that is meaningful but sustainable. Rewards linked to customers who actually return are harder to game than a bonus per registration.

Shift patterns matter. A barista on the morning rush sees more customers than someone on a quiet evening, so compare like with like, or use team rewards alongside individual ones.

Handling the common objections

Staff are more confident when they know what to say to a hesitant customer. Agree short, honest answers as a team.

  • “I’m in a rush.” “No problem, scan the code while you wait for your drink; it takes 30 seconds.”
  • “I don’t want marketing.” “That’s optional; you can just collect rewards.”
  • “I already have too many apps.” “It isn’t an app, it goes straight into your phone’s wallet.”
  • “I don’t come in that often.” “Your points don’t disappear after one visit, and you get money off today.”

Designing a fair incentive scheme

A simple structure works best: a small bonus for each customer a team member signs up, and perhaps a monthly team reward if the whole shop hits a target. Avoid large individual prizes that encourage pushy behaviour or registrations of people who will never return.

Review the numbers monthly rather than daily. Look at sign-ups by person alongside how many of those customers came back, so the scheme rewards real relationships. Make the rules visible in the staff room, and adjust them openly rather than quietly.

Keep the momentum

Share results at the weekly team meeting: new members, the best tip for asking, a customer who came back because of the programme. Keep it friendly. Refresh the script when it stops working and ask staff what customers say; they hear objections first.
